A rent roll is a dated summary of a property's units or tenants and their rental terms. It helps you understand leased space, scheduled rent, occupancy, and lease timing. It is a starting record to reconcile with leases and collections, not proof that all listed rent is being paid.
Read the fields that explain the income
For apartments, look for unit identifier, unit type or size, occupancy status, lease dates, contract rent, concessions, deposits, and balances owed. For commercial tenants, add leased area, expense-recovery terms, rent increases, renewal options, and relevant lease rights.
Use the report date to interpret every entry. A unit can become vacant after the report is prepared, or a new lease may begin later. Compare more than one dated rent roll when investigating changes.

Distinguish physical and economic occupancy
Physical occupancy measures occupied units or space. Economic occupancy relates collected or recognized income to an identified potential-income basis. State the definitions, because reports do not always use the same method.
In a hypothetical 20-unit building, 18 occupied apartments indicate 90% physical occupancy. If scheduled rent for those apartments is $18,000 per month but collections are $16,500, the occupied count alone does not explain the income shortfall. Concessions, timing, or unpaid amounts need investigation.
Reconcile the report with independent records
Trace contract rent to signed leases and amendments. Compare billed amounts with a collections ledger and appropriate payment evidence. Match unit status with inspections and management records. Investigate differences instead of silently changing a spreadsheet to make totals match.
Fannie Mae's fraud-prevention material identifies inconsistencies among rent rolls, inspections, listings, and operating statements as warning signs. An inconsistency is a reason for further checking, not automatic proof of misconduct.
Turn the rent roll into a leasing timeline
Group expirations by month and identify concentrated turnover. Model vacancy, leasing time, concessions, and any work required before a new resident or business can move in. Avoid assuming every expiring lease immediately resets to market rent.
Limit access to personally identifying tenant information. Public educational examples should use invented unit labels and exclude sensitive details. The learning objective is understanding the property, not publishing residents' records.
